Move Existing Zoom Meetings Into Canvas or Between Courses

The Zoom button in your Canvas course's lefthand menu is known as the "Zoom tool."

When a teacher schedules a Zoom meeting using the Zoom tool in Canvas, that meeting also appears in their Zoom account's list of Upcoming Meetings. However, the reverse is not true. Zoom meetings scheduled outside of Canvas do not automatically appear in their Canvas courses.

This guide will help you resolve the following issues:

  • You created a Zoom meeting outside of Canvas, so it is not showing up in your Canvas course's Zoom tool.
  • You need to move a meeting created in a Canvas course's Zoom tool to a different Canvas course.

How to Move an Existing Zoom Meeting into a Canvas Course

If you created a Zoom meeting outside of Canvas but need to move it into your Canvas course, here's how to do it. Please note that you cannot import your personal meeting room, and you can only move an existing Zoom Meeting into a Canvas course if you are the meeting's host.

    1. Navigate to the Canvas course that you wish to move a meeting into. Click the Zoom tab in the lefthand course menu.
    2. Click All My Zoom Meetings/Recordings at the top right.
      • Note: The meetings and recordings seen in All My Zoom Meetings/Recordings are meetings that you are the host of. These meetings and recordings are only visible to YOU. No other users, including students, can see your meetings and recordings that are not associated with the course. If students click this option, they will see their own meetings and recordings.

    3. Copy or write down the Meeting ID number from the "Meeting ID" column for the Zoom Meeting you wish to add to your course.
      • If the meeting is in the past, access it by clicking Previous Meetings.
    4. Navigate back to Course Meetings by clicking Course Meetings/Recordings at top left, just under the Zoom logo.
    5. Click the 3-dot button in the top right corner (next to the Schedule a New Meeting button). Click Import Meeting in the drop-down menu:

    6. Paste or type-in the Meeting ID number that you copied in Step 3. Then click Import to finish.
      • All instances of a recurring meeting share the same Meeting ID number, so if you're moving a set of recurring meetings, you can import all of them at once.

    7. Confirm that you now see the meeting in the Upcoming Meetings (or Previous Meetings) tab of the course's Zoom tool. You may need to refresh the page. The meeting is now available to this course's students.

How to Move a Zoom Meeting From One Course to Another

If you want to fully remove a meeting from one course and add it to a different course, follow these steps:

  1. Go into the Canvas course that you wish to move a meeting out of. Click the Zoom tab in the lefthand course menu.
  2. Copy or write down the Meeting ID number from the "Meeting ID" column for the Zoom Meeting you want to move to a different course.
    • If the meeting is in the past, access it by clicking Previous Meetings
  3. Click the Delete button to the right of the meeting you wish to move. Click Delete again in the confirmation pop-up (don't worry—it won't be permanently deleted and you will recover it in the next step!). The meeting will disappear from the Upcoming Meetings list.
    • If you're moving a recurring meeting, you'll be given the option to delete only one meeting or all the recurrences. Choose whichever option reflects the meetings you want to move (if only moving one, delete only that one; if moving all recurrences, delete all recurrences). 
  4. Navigate to https://emerson.zoom.us/meeting/trashcan/list. Click Recover to the right of the Zoom meeting you're moving to a different class.
    • If you're moving a recurring meeting, you will be given the option to recover only a single meeting or all the recurrences.

  5. Leave this page and navigate to the Canvas course that you wish to move the meeting into. Click the Zoom tab in the lefthand course menu.
  6. Click the 3-dot button in the top right corner (next to the Schedule a New Meeting button). Click Import Meeting in the drop-down menu:

  8. Confirm that you now see the meeting in the "Upcoming Meetings" (or "Previous Meetings") tab of the course's Zoom tool. You may need to refresh the page. The meeting is now available to this course's students.

How to Add the Same Zoom Meeting to Multiple Canvas Courses

FERPA Disclaimer

According to FERPA, if a student has opted out of disclosing directory information, the institution may not disclose the student's attendance in a class to students outside that class. Therefore, before you follow the steps below to add the same Zoom meeting to multiple Canvas courses, you’ll need to be clear with the students in the start of class that you intend to have two different classes joining the same Zoom class session. If that is a problem for any student, they should let you/us know and we will work something out. Please note that this FERPA disclaimer does not apply to cross-listed classes that are officially scheduled to meet together on the same days/times.

  1. Go into the Canvas course that contains the meeting you want to also add to other Canvas courses. Click the Zoom tab in the lefthand course menu.
  2. Copy or write down the Meeting ID number from the "Meeting ID" column for the Zoom Meeting you want to copy to a different course(s).
  3. Leave this page and navigate to the Canvas course that you wish to move the meeting into. Click the Zoom tab in the lefthand course menu.
  4. Click the 3-dot button in the top right corner (next to the Schedule a New Meeting button). Click Import Meeting in the drop-down menu:

  5. Paste or type-in the Meeting ID number that you copied in Step 2. Then click Import to finish.

  6. Confirm that you now see the meeting in the "Upcoming Meetings" (or "Previous Meetings") tab of the course's Zoom tool. You may need to refresh the page. The meeting is now available to this course's students.
  7. Repeat steps 3 through 6 for each course that you need to add the same meeting to.

Note: Deleting a meeting from one course will delete the meeting from all courses that it's been added to. You can restore the meeting from zoom.emerson.edu if needed, but you will need to re-import the meeting into each course after restoring it.
