This guide provides instructions for reviewing assigned teaching loads, apply administrative equivalencies, and process manual load reductions within the Emerson Faculty Management System (Salesforce).
Salesforce Objects referenced/used in this process:
- Contact - faculty profile
- Faculty Course Loads - one record for each academic year
- Equivalencies - manually created for a related faculty course load record
The Teaching Load is determined by the Faculty Track Type from Workday and assigned Courses from Banner. This may also include any unaccounted for or credit courses from the prior Academic Year.
Note: Any updates to Course Assignments from Banner will integrate twice daily at 8:30AM & 2PM EST. Any updates made directly in Salesforce will be updated within 24 hours. The process runs twice daily at 7AM EST & 2PM EST.
1: Find and Review Teaching Load
There are multiple ways to begin your review. You can start by looking at an individual Contact record to review the teaching load. You can start by reviewing a list view of all teaching loads. Example list view (limitations to filtering, but this option gives the user the ability to mass update records if needed). Additionally, you can begin by reviewing a high level report.
Option 1: Contact Record

Navigate to the Contacts Tab
- From the main navigation bar, locate and click on the "Contacts" tab. Alternatively, you can search for the faculty in the main search bar

Select the Faculty Record
- Open the record and look for “Related List Quick Links” at the top of the record page to find the "Faculty Course Loads" related list. Open the Faculty Load Name record you would like to view

Review Current Load Data
Option 2: List View

Navigate to the Faculty Course Loads Tab
- From the main navigation bar, locate and click on the "Faculty Course Loads" tab.

Select the Faculty Record
- In the list view, locate the faculty member’s name attached to the relevant Academic Year (e.g., Robin Danzak-2025-2026).
- Click the link to open the record.

Review Current Load Data

Review the key fields in the "Calculated Expected Load" section.
- Calculated Expected Load: The total credits the faculty member is expected to teach based on their track type
- Assigned Credits: The total credits currently assigned for the particular AY.

Credits Unaccounted For:
- Positive (+) count indicates missing (unaccounted for) credits
- Negative (-) count indicates that the sum of assigned credits, carry over from previous AY, manual reductions/equivalencies is greater than the calculated teaching load

Review the key fields in the "Calculated Expected Load" section.
Option 3: Reporting
From the main navigation bar, locate and click on the "Reports" tab.
The main advantage to using Salesforce reports over List Views is the ability to filter on more criteria (fields that do not live on the faculty course load object, such as the academic unit, employee status, etc cannot be filtered).
If filtering is not needed, the List View option is recommended for reviewing. Records are able to be updated in mass from the List View as well.
- Open the folder Faculty Course Load and select your preferred report (e.g., "Faculty Course Load by AY" )
- Review the data as you would on the List View or individual record.

2: Edit Teaching Load (Manual or Leave Reductions)
If a manual adjustment needs to be made to a particular teaching load record

Locate Manual Reductions
- On the Faculty Course Load record, find the "Manual Reductions" field
- Click the pencil icon or "Edit" button to modify the field. You will need to have editing permissions in order to see the pencil.

The same process applies to “Leave Reductions”.

Enter Reduction Amount
- Type the number of credits to reduce (e.g., "5").

Add Required Documentation

You must enter an explanation in the "Notes" field in order to save the record

Save Record

Click "Save". Ensure the "Credits Unaccounted For" has decreased by the amount of the reduction.

3: Create an Equivalency Record
When a faculty has an equivalency, a new Equivalencies record needs to be created. We will create this record from the Contact record, however it can also be created from an Equivalencies list view.
- Locate the Equivalencies List View tab

Initiate New Equivalency

Click the "New" button in the top right of the Equivalencies section.

Enter Equivalency Details
- Enter the faculty and the corresponding academic year
- Equivalency Type: Select the appropriate category from the dropdown (e.g., "Administrative 2 Courses").
- Reason: Type a clear description of the duty (e.g., "CSD Graduate Program Director").

Save
- Click "Save" to finalize the record. The "Credits Unaccounted For" on the main Faculty Course Load record will update to reflect this equivalency once the system refreshes.

4. Excluding a Course Assignment from Teaching Load (including Cross Listed Courses)
In order to exclude a course assignment from the Faculty Teaching Load, navigate to the course assignment and select the checkbox for the “Exclude from Teaching Load”. This will be necessary in order to exclude cross-listed courses.

5: Verification
Once you have made manual adjustments or added equivalencies and the system is refreshed, you can run re-run your report, list view or look at the faculty teaching load record to see the changes.
