Network Printer Installation Guide

This guide walks you through installing an Emerson printer on your computer yourself, from anywhere on campus, in about a minute. You do not need to contact the Help Desk to install a standard public printer in your building.

Before You Start

What you'll need

  • An Emerson-issued laptop or your personal computer running Windows 10/11 or macOS.
  • A connection to eduroam, an Emerson wired port, or the Emerson VPN.

Find Your Printer

  1. In a web browser, go to https://printing.emerson.edu and sign in with your Emerson username and password. You may be prompted to authenticate with Duo.
  2. Choose your Building, then your Floor. The printers available in that area appear in a list.
  3. Find the printer you want and click Install next to it. The page detects whether you're on Windows or macOS and shows the right instructions.
  4. Follow the steps on screen. They will look like the examples below, with the URL or Address, Name, and Location filled in for the specific printer you chose.

Install Steps by Operating System

Windows 10 / 11

Add the printer manually in Windows Settings. It takes about 30 seconds and does not require admin rights.

1. Open Settings > Bluetooth & devices > Printers & scanners.
2. Click Add device. After a few seconds, click Add manually (older versions: The printer that I want is not listed).
3. Choose Select a shared printer by name, paste the URL shown on the install page, then click Next.
4. If Windows asks for a driver, choose Microsoft IPP Class Driver (or accept the default), then click Finish.

Example values shown on the install page:

  • URL: http://konica-xx.emerson.edu:631/ipp/print
  • Name: KONICA-XX (Windows fills this in; you can rename it later)
  • Location: 216 Tremont (Bordy) - 2nd Floor - Hallway

To turn on double-sided printing by default, open Printers & scanners, click your new printer, choose Printing preferences, and set Two-sided printing to On. (If you do not see the option, your printer does not have a duplex unit.)

Trouble? If Windows cannot find the printer at the URL, make sure you are on the Emerson campus network or VPN, then try again.

macOS

Add the printer manually in System Settings. It takes about 30 seconds and does not require admin rights.

1. Open System Settings and search for Printers, or open Printers & Scanners directly.
2. Click Add Printer, Scanner, or Fax... at the bottom.
3. At the top of the Add Printer window, click the IP tab (the globe icon).
4. Fill in the fields exactly as shown on the install page, then click Add.

Example values shown on the install page:

  • Address: ub-xx.emerson.edu
  • Protocol: Internet Printing Protocol - IPP
  • Queue: Leave blank
  • Name: UB-XX
  • Location: 216 Tremont (Bordy) - 2nd Floor - 2nd floor
  • Use: Leave on the default (macOS picks IPP Everywhere or AirPrint automatically).

After you click Add, macOS may show a printer options screen. If you want to print double-sided, turn on Duplex Printing Unit, then click OK. (If the option is not shown, your printer does not have a duplex unit and you can skip this.)

Trouble? If macOS cannot find the printer at the Address, make sure you are on the Emerson campus network or VPN, then try again.

Remove a Printer

If a printer stops working - jobs sit in the queue, you see a connection error, or the printer no longer appears in your Print dialog - the fastest fix is to remove it and install it fresh. Drivers and queue settings can get stuck after Windows or macOS updates, and a clean reinstall almost always clears it. Use the steps below for your operating system, then follow the install steps above to add the printer again.

Remove on Windows 10 / 11

1. Open Settings > Bluetooth & devices > Printers & scanners.
2. Find the printer in the list and click its name to open it.
3. Click Remove at the top of the printer's page.
4. Click Yes to confirm. The printer disappears from the list.

If the printer has any pending jobs, Windows may ask you to clear the queue first. Click See what's printing, then Printer > Cancel All Documents, then try Remove again.

Once the printer is gone, follow the install steps above to add it again.

Remove on macOS

1. Open System Settings > Printers & Scanners.
2. Click the printer in the list.
3. Click Remove Printer... at the bottom of the printer's settings panel.
4. Click Remove Printer in the confirmation dialog.

On older macOS versions, select the printer in the Printers list and click the - (minus) button beneath it.

Once the printer is gone, follow the install steps above to add it again.

Tips and Common Issues

Off-campus or on a personal device?

You can install printers from anywhere, but you'll only be able to print to them when you're connected to the Emerson network (on eduroam, on a wired campus port, or through the Emerson VPN). Print jobs sent from off-campus without VPN will sit in your queue until your computer is back on the Emerson network.

Don't see your floor?

Only floors and buildings with public printers appear in the list. If you expect a printer to be there and it isn't, email helpdesk@emerson.edu and we'll check whether it's been retired, renamed, or moved.

Previously worked, but not anymore?

Remove the printer using the steps above, then install it again. This clears most stuck-queue and driver problems in one pass.

Need Help?

If the install doesn't work or you're not sure which printer to pick, email helpdesk@emerson.edu with your building, floor, and the name of the printer you were trying to install. Including a screenshot of any error message helps us resolve the issue faster.
