Updating Your Web Bio — Institutional Data

While your online directory profile can be revised and bolstered with content, there are a few areas Web Services cannot change. We refer to this uneditable information as institutional data.

Institutional Data

Institutional data is information that is not actively maintained by Web Services even though it is displayed in your directory entry. These elements include:

  • Your pronouns
  • Your office phone number
  • Your office address
  • Your office location
  • Your education history (i.e., degrees and awarding institutions)

We at Web Services receive requests often for updating institutional data. We cannot make these changes permanently. This article will outline how you can initiate making those changes so that they persist on emerson.edu.

Pronouns

Including your pronouns in your profile is encouraged but not required.

Pronouns are set in Workday; to do this:

  1. Log into Workday, then:
  2. Click your profile photo
  3. Then click View Profile > Personal (left-hand purple menu) > Edit.
  4. Scroll all the way to the bottom for your pronoun options.

Pronoun Selection

Many individuals choose to use multiple pronoun series (e.g., she/they); please know that Workday does not support selecting multiple pronoun series. If you would like to see this feature, please contact HR at hr@emerson.edu.

Office Phone Number

To update your office phone number, review this article from HR: Publishing a Work Phone Number to the Online Directory.

Office Address & Location (Office #)

To update your office address (e.g., 120 Boylston St.), your supervisor must make the change themselves in Workday. This is also the case for your office location (e.g., Walker 404). Contact your supervisor to make the change. 

Education History

Your education history can be edited in Workday then approved by Academic Affairs.

Follow these steps to update your Education History:

  1. Once logged into Workday, click your avatar in the top-right hand of the home screen, then select View Profile.
  2. In the purple navigation menu, click Career; then, in the top horizontal menu, click Education.
  3. You can then select Add to add a new education item to your profile. Once the details are complete, click Submit.

If it is a newly acquired degree, Academic Affairs will have an outside vendor, Accurate, run an education background check for approval prior to updating on the web. If there are any issues, please contact Matthew Finn, Senior Associate Director for Faculty Administration at matthew_finn@emerson.edu.

Turnaround Time for Changes

Changes will reflect on the website for institutional data within 24–48 hours. Confirm a change is posted to your profile by viewing your directory entry in an incognito window; this will allow you to view your content that has not been cached.

If a change does not appear within the mentioned window, please reach out to Web Services by submitting a ticket to web_request@emerson.edu. We will troubleshoot the issue when we receive your request.
