Sending Course Invitations/Assignments/Offers to Invite Faculty Members to Teach
(Please note invitations can be sent from the Contact List View and/or from the Course Sections). Course Sections is the most frequently used method. The end of this user guide provides information on how to send the invitation from the Contact List View.)
Inviting one Contact to teach one or more course sections from Course Sections.
Ex: Faculty member teaches CD100 and CD200 and you want to send the invites at the same time.
1. Click Course Sections
(Please note If the Course Section Object is not showing in your view, the Object view can be edited to show the Object needed in your view. - Select the Pen Icon and then drag & drop to update.)
2. Select the Course Section(s)
From the List View on the Left, Select the Pin Icon to Pin your view

3. Select Create Faculty Invitation
4. Select the Faculty Member (Search Contact), any Contacts (Select cc Contact) or Salesforce Users (Select cc User) who should be in copy on the invitation and then send the invitation.

If a response is not received in 1 week (7 days), the invitation will be re-sent (once) with the following updates:
Subject Line: Reminder: Offer to Teach {!$Record.Course_Name__c} {!$Record.Part_of_Term__c}

Once you send the Invitations/Assignments/Offers, a Course Invitation Record will be created to track the progress of the Invitation. You can view/update the record as follows:
View/Edit the course invitation
Form Responses: When the faculty member completes the form, the Course Invitation will automatically update the stage (ie Accepted/ Declined Offer) at which point the user can change the status to “Assignment Confirmed” if faculty is ready to be assigned as the Instructor of Record in Banner (at which point a Course Assignment is created in Salesforce)
What happens when a Course Invitation is sent
1. The Course Invitation email template is emailed to the Faculty Member
2. Once the faculty member receives the email, they are able to respond to the request via a web form
3. Once they complete the form, it will update the Course Invitation field “Stage” in Salesforce

Inviting one or more Contacts to teach a course from a Contact List View.
Ex: Faculty member teaches multiple sections of CD100.
1. Click on the Contacts menu / object.
2. Choose appropriate List View dropdown to top left of screen or choose “All Contacts”
3. Select the one or multiple faculty Contacts you would like to send a single course
4. Click the Create Invitation to the top right corner of the screen
5. Choose the type of invitation being sent, such as “Course Invitation”
6. In the Course Box, start typing in the Course Key or the Name of the Course
7. Use the checkbox to select the appropriate section being offered to the faculty from the list.
Optional steps- additional people may be CCd to the invitation. If that person is already a Contact then use the Select cc Contact dropdown. If that person is not a Contact, but rather an Administrative Salesforce user, choose the Select cc User option. If your department uses the attachment feature, select from the dropdown list.
8. Following the processing screen, when the invitations process successfully the confirmation screen will display
Managing Course Invitations, stages:
Status | Description | Automation |
Invited | Default Stage when Invitation is sent | Automatically set to “Invited” on Record Creation when Faculty invitation record is created. |
Accepted Offer | Faculty member has Accepted the Invitation | Automatically set to “Accepted Offer” when faculty accepts offer via web form. Acknowledgement Email is sent. |
Declined Offer | Faculty member has Declined the Invitation | Automatically set to “Declined Offer” when faculty accepts offer via web form. Acknowledgement Email is sent. |
Assignment Confirmed | Emerson staff member confirming the Assignment |
