This guide is intended for users who want to be able to send as their Emerson Gmail address from within a personal Gmail address. This may be something users like to do if they have multiple email addresses and want to manage them all, including their Emerson address, from a personal Gmail.
- Warning: Sending and receiving emails directly through your Emerson account is recommended for optimal security.
Step 1: Enable 2-Step Verification on Your Emerson Account
To allow a personal Gmail account to send emails as your Emerson account, you must first enable 2-Step Verification.
How to Enable 2-Step Verification

Log in to your Emerson Google account by visiting:
https://myaccount.google.com -
Verify you're logged in as your Emerson account:
- Click on your profile icon in the top-right corner.
- Ensure it says "@emerson.edu." If not, switch to your Emerson account.

Navigate to the Security tab.
- Find the section "How you sign in to Google."
- Click 2-Step Verification and follow the prompts to enable it.

Set up a second authentication method (phone number or Google Authenticator). This is only required when setting up "Send As," this will not affect logging into Emerson Gmail via Duo.
Step 2: Generate an App Password
Since Emerson uses Duo single sign-on (SSO), you normally donβt have a standalone password for Google applications. Instead, you need to generate an App Password.
How to Create an App Password

Log in to your Emerson account at:
https://myaccount.google.com/apppasswordsπ Make sure you are logged in as your Emerson account.
- Click your profile icon to confirm you are using "@emerson.edu."

Under App Passwords, type a name (e.g., "Send As Emerson") and click Create.

Copy the generated App Password (16-character code).
- Do not write it down or save it.
- You will only use it once to set up SMTP in Gmail.
- If you ever need a new one, simply generate another.
Step 3: Configure Your Personal Gmail to Send Mail as Your Emerson Account

Open your personal Gmail account and go to:
Settings (gear icon) > See All Settings. -
Navigate to the Accounts and Import tab.

Under "Send mail as," click "Add another email address."

Enter the following:
- Name: The display name you want to appear in emails.

Email Address: Your Emerson email (e.g.,
firstname.lastname@emerson.edu
).

Check or uncheck "Treat as an alias":
- β Check this if you want emails to function as if they are coming from your Emerson inbox (e.g., replies will go to your Emerson email).
- β Uncheck this if you want replies to go to your personal Gmail account instead.

Click Next Step.

Enter the SMTP server details:

smtp.gmail.com

Port:
587
- Username: Your full Emerson email address.
- Password: Paste the App Password you just generated (a 16-digit password, 4 sets of 4 characters).
- Encryption: Select TLS.

Click Add Account.
Step 4: Confirm the Connection
- A confirmation email will be sent to your Emerson email.
- Log in to your Emerson Gmail to retrieve it.
- Click the confirmation link or enter the verification code in your personal Gmail settings.
Once confirmed, you can now send emails from your personal Gmail account as your Emerson email.
Managing Your App Passwords
- App Passwords cannot be viewed or retrieved after creation.
- If you ever need to change it, generate a new one at:
https://myaccount.google.com/apppasswords - There is no central place to manage or revoke specific App Passwords.
- You can revoke all App Passwords by changing your main Google password.Β Please contact helpdesk@emerson.edu if you need this done.
Troubleshooting
Authentication Failed?
- Double-check that you're logged into your Emerson account at myaccount.google.com when enabling 2-Step Verification and creating the App Password.
- If you see a Google security alert, approve the sign-in attempt.
- Try generating a new App Password and using it instead.
